The data-sharing note

Who this note is between

Central Alberta Accessibility Champions (the legal name is Paws on the Flipside Foundation) and one partner organisation. One named person at each side is the contact for this note.

What we share

• Counts. How many barrier reports we received, by kind and by town, and how many rooms we checked. Every count under five is shown as "fewer than five".
• A barrier report, only with consent. A person who reports a barrier can tick a box that lets us share their report with a partner that has signed this note. We share only the words they sent about the place and what happened. We share nothing else.
• Room sheets. The five access facts and the notes for rooms the partner runs, after the partner has reviewed them.

What we never share

• A person's name, phone number, email or address.
• Anything that could point to one person, such as a date and a place together when few people were there.
• Any count under five.
• A report the person did not agree to share.
• A report with a partner the person did not agree to.

Who may read a report, and when

• Only a named person at the partner, signed in to their own account, may read a shared report.
• Every time a report is read, the site records who read it and when. The two people at the society who receive reports can see that record.
• The partner uses the report to fix the barrier. It may not be used for marketing, and it may not be copied into a system we have not been told about.

How long we keep it

• The way to reach a person who reported a barrier is blanked after 365 days. The report about the place stays, without any way to reach the person, so we can count over time.
• Contact messages and directory corrections are deleted after two years.
• The Privacy page says the same in full.

If something goes wrong

Each side tells the other within two working days if data under this note is lost, leaked or misused. The society tells the person, if it can reach them.

How to withdraw

• A person can withdraw their consent at any time through the Contact page. We then stop sharing that report, and we ask the partner to delete their copy.
• Either side can end this note with thirty days' written notice. Shared reports are deleted by the partner when the note ends. Counts already published stay published.

Signatures

For the society: name, role, date. For the partner: name, role, organisation, date. A signed copy is kept by each side. The society's copy is filed with the board minutes.
